Job Description

Position Summary:

We are seeking a detail-oriented and organized Data Entry Assistant to support our food manufacturing operations. This role will be responsible for creating purchase orders, maintaining accurate inventory records, preparing product labels, and performing general administrative tasks to ensure smooth production and compliance with company and regulatory standards.

Key Responsibilities:

• Purchase Orders (POs):
  • Create, update, and process POs for raw materials, packaging, and supplies.
  • Communicate with departments to confirm orders, delivery schedules, and pricing.
• Inventory Control:
  • Maintain accurate and up-to-date inventory records in the company database.
  • Monitor stock levels and report low inventory to management.
  • Assist in physical inventory counts and reconcile discrepancies.
• Label Creation:
  • Generate product labels in compliance with FDA, USDA, and company guidelines.
  • Ensure accuracy of ingredient lists, nutrition facts, lot codes, and expiration dates.
• Data Entry & Reporting:
  • Accurately input production, shipping, and receiving data into the ERP or inventory system.
  • Prepare daily, weekly, and monthly inventory and production reports.
• Administrative Support:
  • Maintain filing systems for POs, invoices, and production records.
  • Assist with document preparation for audits and inspections.
  • Support other departments as needed to ensure smooth operations.

Qualifications:

• High school diploma or equivalent; additional coursework in business, supply chain, or related field preferred.
• 1+ year of experience in data entry, purchasing, or inventory management (preferably in a food manufacturing environment).
• Proficient in Microsoft Office Suite (Excel, Word, Outlook), Google Sheets.
• Experience with ERP or inventory management software preferred.
• Strong attention to detail and accuracy.
• Ability to work independently and meet deadlines.
• Bilingual-(English and Spanish) Prefered.

Physical Requirements:

• Ability to sit for extended periods while using a computer.
• Occasionally lift up to 25 lbs when handling inventory samples or labels.
